Dermot Campbell Consulting, a trading name of Augentic Ltd, takes your privacy seriously. This notice explains what information we collect, why, and what your rights are. It covers both this website and the information we handle in the course of providing our services. Augentic Ltd is the data controller.
This website
This website does not collect any personal information about you directly. It uses no tracking cookies and no analytics.
Two things on the site involve your information, and only if you choose to use them:
- If you email or call using the links provided, you are using your own email or phone; we receive whatever you choose to send us, and we use it only to reply and to help you.
- If you book a call, the booking button takes you to Calendly, a third-party scheduling service. Any details you enter there are handled by Calendly under its own privacy policy, and passed to us so we can hold the meeting.
The information we collect about clients
When you engage us, or take steps to do so, we collect the personal information we need to provide our services and to meet our legal obligations. Depending on the work, this may include:
- Name, contact details and business details;
- Financial and accounting information relating to you or your business;
- Identity verification information, which we are required to collect and keep for anti-money-laundering purposes;
- Any other information you provide to us in the course of our work together.
How we use it, and our lawful basis
We use your information to deliver the services you have engaged us for, to communicate with you about that work, and to meet our legal and regulatory duties. Our lawful bases are:
- Contract — to provide the services we have agreed;
- Legal obligation — to comply with tax, accounting and anti-money-laundering law, which requires us to collect and retain certain records;
- Legitimate interests — to run and improve our practice, where that does not override your rights.
We do not sell your information, and we do not use it for marketing without your consent.
Our use of AI tools
We use AI tools as an integral part of how we deliver our services; modern practice of this kind depends on them. We believe in being transparent about this rather than leaving it unsaid.
We use business-tier tools chosen specifically for their data protection terms. The business version of ChatGPT, for example, does not use our data to train its models, which is why we use it rather than the consumer version. We do not put client-confidential information into consumer-grade AI tools, or into messaging apps such as WhatsApp.
Who processes your information
We use a number of reputable software providers to run the practice, who process data on our behalf under appropriate agreements. These include Microsoft 365, Google Workspace, Xero, Hubdoc, Calendly, Notion, IAB Connect (for anti-money-laundering records), and ChatGPT Business.
Transfers outside the UK
Some of our software providers are based outside the UK, including in the United States. Where your information is transferred outside the UK, we rely on the safeguards those providers have in place, such as the UK's International Data Transfer Agreement or equivalent approved mechanisms, to ensure your information remains protected.
How long we keep it
We keep your information only as long as necessary for the purpose we collected it, and to meet our legal obligations:
- Tax and accounting records: at least six years after the end of the relevant tax year;
- Anti-money-laundering identity records: five years after the end of our business relationship with you;
- Other records: for no longer than we reasonably need them.
How we protect your information
We take appropriate steps to keep your information secure, including encrypted storage, access controls limiting who can see your data, multi-factor authentication on our systems, and keeping our software up to date.
Your rights
Under UK data protection law you have the right to:
- Ask for a copy of the information we hold about you;
- Ask us to correct information that is wrong or incomplete;
- Ask us to delete information, where we are not required to keep it;
- Object to or restrict how we use your information in certain circumstances.
